Privacy Policy
Effective date: October 5, 2026. Last updated: October 6, 2026.
Who we are and what this policy covers. Pettit Media Solutions LLC, doing business as Retro Rematch (“Retro Rematch,” “we,” “us,” or “our”), buys video game collections by mail. This policy explains what information we collect when you visit retrorematch.games, submit a collection, ship games to us, contact us, or choose how to be paid. It explains how we use and share that information, how long we keep it, how we protect it, and the choices and rights you have. It covers our website, the private links we email you (your estimate, shipping, results, and status pages), and the emails we send. It does not cover other companies’ websites or services, such as our payment providers, which have their own policies. If you do not agree with this policy, please do not submit information to us.
The short version
- We collect what we need to value your collection, ship it, and pay you: your name, email, phone, photos, notes, shipping address, and where to send payment.
- We do not sell your personal information, and we do not share it for advertising.
- Photos you submit may be read by AI software to help identify games. Our staff review the results and finalize every estimate.
- We never see or store your bank account number or card number. Bank transfers are set up on our payment processor’s secure page.
- We use outside service providers to run the site, as Section 4 explains. Each one receives only what it needs.
- You can ask to see, correct, or delete your information by emailing support@retrorematch.games. We may need to keep some records, as Section 8 explains.
1. Information we collect
Information you give us
- Contact details: your first and last name, email address, and phone number.
- Your collection: photos, an optional collection list (a spreadsheet or document), and any notes you write. Photos and notes can contain anything you choose to include, so please do not include other people’s personal details or anything you do not want us to have.
- Shipping details: your shipping address, the weight and size of your package, and whether you want optional shipping insurance and for how much. If you ask for a game to be returned, your return address.
- Payment details: how you want to be paid. If you choose PayPal, the PayPal email address, phone number, or username you give us. If you choose bank transfer, you enter your bank details, and any identity information our payment processor requires, directly on the processor’s secure page. We receive only a reference and the status of your setup, not your account number.
- Your decisions and messages: whether you accept or decline an estimate, your choices about inspection results, your questions, your reasons for declining, contact form messages, and emails you send us.
- Claim information: if a package is lost or damaged and we file a claim, the details needed for that claim.
Information collected automatically
- Device and usage information: your IP address, browser type and version, device and operating system, the pages you view, the website you came from, and the times and actions of your visit.
- Campaign information: if you arrive from an ad or a link with tracking tags, we record the tags (for example, a campaign name) and any ad click identifier (for example, a Google or Facebook click ID).
- Approximate location: such as your city or state, worked out from your IP address. We do not collect precise location.
- Package tracking: scan and delivery updates for your package from the carrier.
- Random identifiers: a random session ID while a tab is open, and the cookies described in Section 5.
Information from others
- Shipping and carrier services: label, tracking, and delivery information.
- Payment services: confirmation that a payment was sent, failed, or came back, and whether your bank transfer setup is complete.
- AI software: the games it recognized in your photos (see Section 3).
- Analytics services: reports about how visitors use our site.
We do not buy personal information from data brokers.
Information we do not collect
We do not collect card numbers or bank account numbers on our site, passwords from sellers (there are no seller accounts), precise location, or information from children. Your browser re-saves each photo before it is sent to us, which removes hidden data such as where a photo was taken. We do not intentionally collect sensitive personal information, such as health or biometric information.
2. How we use information
- To review your submission, prepare and send your estimate, and answer your questions.
- To provide a prepaid shipping label when you qualify, insure your package if you choose, and track it.
- To inspect your games, send you inspection results, and return games you ask to have returned.
- To pay you, keep records of the payment, and resolve any problem with it, including a failed or returned payment.
- To send you messages about your sale: links, status updates, and payment notices. We do not currently send marketing emails. If that changes, we will tell you and offer an opt-out in every message.
- To prevent fraud, spam, abuse, and security incidents, and to confirm that a sale is legitimate.
- To measure how our website and our advertising perform, and to improve our services.
- To keep business, tax, and accounting records, to comply with the law, to enforce our Terms of Service, and to establish, exercise, or defend legal claims.
We do not make decisions that have legal or similarly significant effects on you using only automated means. Our staff review the information the AI software provides and finalize every estimate and every inspection result.
3. AI-assisted photo review
To help identify the games in your photos, we send the photos you submit to a third-party AI service provider. The service reads each image and returns the titles and platforms it recognizes. We match those results to a price catalog. Our staff review the results and finalize every estimate and every final value. The AI does not make the final decision.
We send the photo only, with a fixed instruction to identify the games in it. We do not send your name, email, phone number, or address with it. We do not use your photos or information to train AI models, and our provider is not permitted to use what we send it to train its models. Photos can show more than games, such as a room, a person, or a document, so please keep your photos to your games.
6. How long we keep information
We keep information for as long as we need it for the purposes in this policy, including completing and supporting your sale, keeping business, tax, and accounting records, resolving disputes and claims, preventing fraud, and meeting legal obligations. When we no longer need it, we may delete it or make it so it can no longer identify you, and we will do so when you ask, as Section 8 describes, subject to the exceptions there. Some records are kept longer because they are our record of the transaction: your invoice, the payment record, and the payout destination we sent the money to.
7. How we protect information
- Encryption in transit. Our website uses HTTPS.
- Encryption in storage. We encrypt email addresses, phone numbers, shipping and return addresses, the IP address recorded when you submit a form, and payout destinations before they reach our database. The key is kept separately from the database.
- Private file storage. Photos, lists, and label files are kept in private storage and opened only through short-lived links.
- Private links. Your estimate, shipping, results, and status pages open only through long random links we email to you. We store a scrambled version of each link, not the link itself.
- Limited access. Only authorized staff can see customer records. They sign in, they have roles, and we keep a log of staff actions on customer records.
- Payments. We do not handle card or bank account numbers. Our payment providers do, under their own security programs.
No method of transmission or storage is completely secure, so we cannot promise absolute security. Please keep your email account secure, because our links are sent to it. If a breach affects your information, we will notify you and the authorities as the law requires.
8. Your choices and rights
You can ask us to tell you what personal information we hold about you and give you a copy, to correct it, or to delete it. You can withdraw any consent you gave, and you can opt out of marketing messages (we send none today). Residents of some states, including California, Texas, and Kentucky, have these rights by law. We offer them to all sellers in the United States, wherever you live.
How to ask
Email support@retrorematch.games with the subject “Privacy request.” Include your name, the email address you used with us, and your reference number (it starts with RR-) if you have it. You can also write to Retro Rematch, Attn: Privacy Team, 3550 Lakeline Blvd Ste 170, PMB 1107, Leander, TX 78641.
How we check it is you
We match your request to the email address and reference number on the sale. We may reply to the email address on file or ask for details only you would know. We will not ask for more than we need.
Using an agent
You may ask someone to make a request for you. We may need your written permission and may confirm it with you.
Timing
We confirm receipt within 10 business days and respond within 45 days. If we need more time, we may extend that by up to 45 more days, and we will tell you why.
What we may keep or refuse
We may keep information we are required or permitted to keep, such as invoices and payment records, the payout destination we sent money to, and records needed for taxes, fraud prevention, or legal claims. We may refuse a request we cannot verify or that the law allows us to refuse, and we will explain why. If you ask us to delete information while a sale is still open, we may not be able to complete that sale.
Appeals
If we deny a request, you may appeal by replying to our response with the word “Appeal” within 60 days. We will respond in writing within 60 days of receiving your appeal. If we uphold the denial, you may contact your state attorney general.
No penalty
We will not treat you worse for using these rights.
9. Notice for California residents

You have the right to know what we collect, to delete, to correct, and not to be treated worse for using your rights. You may also opt out of sale or sharing and limit the use of sensitive information, though we do neither. California’s “Shine the Light” law lets you ask about disclosures to third parties for their direct marketing. We make none. To use any right, follow Section 8.
10. Children
Our services are for adults. You must be at least 18 years old, or the age of majority where you live, to sell to us. Our services are not directed to children under 13, and we do not knowingly collect personal information from anyone under 18. If you believe a child has given us information, contact us and we will delete it.
11. Where your information is processed
We are based in the United States, and our services are for sellers in the United States. We and our service providers process information in the United States and may process it in other countries where those providers or their own providers operate.
12. Links and services we do not control
Our pages may link to other companies’ sites and services. When you set up a bank transfer on our payment processor’s page, or are paid through PayPal, you are dealing with that company under its own privacy policy. We do not control those policies and are not responsible for them.
13. Email and messages
We send emails about your sale from donotreply@retrorematch.games. Replies go to support@retrorematch.games. We keep copies of messages we send and receive, and our email provider records whether each message was delivered. We do not send text messages.
14. Changes to this policy
We may update this policy. We will post the new version here with a new effective date. If a change is material and you have an open sale, we will also email you. Changes apply going forward.
